Re: Parts lists and monthly inventory

Along with this letter you should find two excel files. "Parts Room.xls" is a list of parts and supplies used primarily in floor repairs. "Parts List yy_mm_dd.xls" is a list of parts that apply more to the Bench Technician.

A description of the columns follows:

A - "Barcode". This is the basic part number we assign to a specific part, and is intended to eventually be a barcode info for that part.

B - "Drawing". This is a hyperlink to a picture or data sheet that describes that part. These files are not included on this CD. The sum will not fit on a CD. It covers about 800 MB.

C - "Location". This is a note of where the part is stored if we have any in stock.

D - "Controlled Item". An orange block with a "C" here notes that this part is a Compliance controlled item.

E - "Bad". This is the known number of these items we have that are bad and pending repair or disposal. An "N" here implies that the part is not considered a repairable item.

F - "On Order". This is the quantity for this item we currently have on order.

G - "Good". This is the quantity for this item we currently have in stock and known good.

H - "Cost". This is the last cost of this line item. In some cases where we have two batches from different sources with a profound difference in cost we have made two line items for this part.

I - "Extended Value". This is Good quantity on hand times the Cost. Items pending repair or disposal are not given a cost.

J - "Date Counted". This is the date this item was last physically inventoried. Usually it is the date that part was last received.

K - "Minimum Quantity". This is the order point for this item. When we realize this point is hit we evaluate and reorder the item.

L - "Order Quantity". This is the suggested quantity to reorder.

M through R - "Part Number (vendor, price)". These are six fields for various equivalent part numbers for that line item. Many items, like light bulbs, are used on many different games. We try to list all equivalent part numbers, whose part number it is and what the last quoted price was. In some cases a single item may take up two or three lines. This helps us identify parts that are used on more than one vendor, and shop for the best price.

S - "Description". This is a description of that part.
